JobAssist AI Privacy Policy
Chrome extension by Ignova Technologies · Last updated October 4, 2026
JobAssist AI is a tool for recruiters at Ignova Technologies and the job seekers they work for. It tailors a resume to a job posting, fills job application forms from the job seeker's profile, and records each submitted application in the Ignova portal. This page explains what the extension reads, where that data goes, and what it never does.
Who can use it
The extension only works for accounts an Ignova administrator has approved. When you install it, it reads the email address of the Google account signed in to Chrome and registers it for approval. Until an administrator approves that account, resume tailoring and cloud features stay switched off.
What the extension handles
| Data | Why | Where it goes |
|---|---|---|
| Google account email | Checking that the account is approved | Smart Resume Tailor service (Ignova's resume backend) |
| Job seeker profile (name, contact details, address, work history, references, application answers) and any address sheet you upload | Filling application forms | Stored only in your browser (Chrome extension storage). Sent to an AI provider only as described below. |
| Resume text and the job description on the page you choose | Producing a tailored resume | Smart Resume Tailor service |
| Tailored resume PDF | Letting the job seeker and their recruiter see every resume sent out | The Ignova portal (Google Firebase), and a copy in your Downloads folder |
| Questions on an application form that the profile cannot answer, with the relevant profile and resume details | Drafting an answer for you to review | Smart Resume Tailor service, or the AI provider you set up in the extension's settings. Common questions and their answers can be kept in a shared answer library in the Smart Resume Tailor service so they are answered the same way next time. |
| Submitted application: company, role, job link, the resume used, and a screenshot of the confirmation page | Proof that the application was submitted, for the job seeker and the team | The Ignova portal (Google Firebase) |
| Recent Gmail messages (read only) | Finding a one-time verification code that a job site emailed, so it can be entered for you | Read in your browser only. Only the code is used; message contents are not stored or sent anywhere. |
Screen capture
After you submit an application, the extension takes a screenshot of the browser tab showing the confirmation, and saves it with the application in the Ignova portal. If you choose to turn on whole-screen proof, Chrome first asks for your permission and lets you pick the screen to share. Screenshots are taken only when an application is submitted. The extension does not record video or audio, and you can stop screen sharing at any time from Chrome.
Website access
Job applications are hosted on many different company career sites, so the extension asks to run on all websites. On ordinary pages it only checks whether the page is a job posting or an application form. It reads a page's contents only when you start tailoring, filling or logging on that page, or when you open an application from the extension.
What we never do
- We do not sell or rent your data, or use it for advertising.
- We do not use your data to decide credit, lending or anything unrelated to your job search.
- We do not collect your browsing history, passwords or payment details.
- Gmail access is read-only, and is used only to find verification codes.
- People at Ignova see data only to deliver the job search service to the job seeker.
The use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
Service providers
Data stored in the Ignova portal and the Smart Resume Tailor service is hosted on Google Cloud and Firebase. AI answers come from the Smart Resume Tailor service, or from the provider you configure yourself (for example Groq, OpenAI, OpenRouter or Google Gemini). Those providers process the text under their own terms.
Keeping and deleting data
Profile data in the extension stays in your browser until you clear it or uninstall the extension. Tailored resumes and application records in the Ignova portal are kept while the job seeker works with Ignova. To see, correct or delete your data, email us and we will respond within 30 days.
Security
All data is sent over HTTPS. The Ignova portal only lets signed-in, approved team members and the job seeker themselves see the job seeker's records.
Changes
If this policy changes, we will update the date at the top of this page.
